Cancellation and Termination Policy Effective Date: 05/01/2025 Policy Overview At SK Empowered Training, we understand that circumstances change, and you may need to cancel or modify your membership. This policy outlines the rules for membership cancellations, freezes, and terminations. Membership Cancellation Minimum Commitment: Memberships require a minimum initial commitment of 3 months before cancellation is allowed (as outlined in the Membership Terms and Conditions). Cancellation Notice: Monthly Memberships: Members must provide 30 days written notice to cancel their membership. How to Cancel: Members must submit cancellation requests via email or in person. Written confirmation will be provided once processed. Outstanding Payments: Any unpaid dues or fees must be settled before cancellation can be finalized. Membership Termination by Gym SK Empowered Training reserves the right to terminate a membership without refund in cases of: • Breach of the Code of Conduct. • Non-payment of fees. • Misuse of facilities or equipment. Membership Freezes Members can only freeze their membership due to a medical reason, Pregnancy or holiday lasting more than 6 weeks. Freezing requests must be submitted in writing with supporting documentation if applicable. Payment and Billing Policy This Payment and Billing Policy outlines the terms and conditions regarding payments, billing cycles, and related processes at SK Empowered Training. By enrolling as a member, you agree to comply with the provisions detailed below. Payment Methods We accept the following payment methods: Credit and debit cards (Visa, MasterCard, etc.) Direct debit payments Payments are processed securely, and we do not store sensitive payment information. Membership Fees Monthly Memberships: Membership fees are billed monthly in advance. Payments are due on the same date each month, as specified during sign-up. Additional Fees: Some services, such as personal training or specialty classes, may incur additional charges, which will be billed separately. Billing Schedule Monthly memberships are billed on a recurring basis, starting from the date of sign-up or as otherwise agreed upon. Members will receive a reminder of billing changes at least 7 days in advance if applicable. Declined or Failed Payments If a payment is declined, members will be notified immediately and are required to provide an alternative payment method within 7 days. Membership access may be suspended until outstanding balances are cleared. Refunds and Prorations Refunds: Membership fees are non-refundable except in cases of exceptional circumstances (e.g., medical issues with supporting documentation). Prorated Adjustments: If a member upgrades their membership during a billing cycle, a prorated adjustment for the remaining period will be applied. Downgrades are only permitted after the initial 3-month commitment. Cancellation and Final Payments Members must provide 30 days written notice for cancellation after the 3-month minimum commitment period. If notice is provided mid-billing cycle, the membership will remain active until the next billing date, with no partial refunds. Payment Disputes Any disputes regarding payments or fees must be raised within 30 days of the billing date. Disputes should be submitted in writing via email. Changes to Billing and Fees SK Empowered Training reserves the right to update membership fees or payment terms with at least 30 days written notice to members. Health & Safety Policy Policy Statement At SK Empowered Training, the health, safety, and well-being of our members, staff, and visitors are our highest priorities. We are committed to providing a safe and supportive environment for fitness activities, ensuring compliance with all relevant health and safety laws, and fostering a culture of safety throughout our facility. Policy Objectives To maintain a safe and healthy environment, we will: 1. Risk Assessment: Regularly identify, assess, and mitigate risks associated with gym equipment, fitness classes, and general gym activities. 2. Equipment Safety: Ensure all gym equipment is regularly inspected, maintained, and safely operated. Faulty equipment will be immediately removed from use. 3. Instructor Qualifications: Require all fitness instructors to hold appropriate qualifications and certifications in fitness training, DBS, First Aid and CPR. 4. Emergency Preparedness: Implement and communicate emergency procedures for incidents such as injuries, fire, or medical emergencies. 5. Member Health: Encourage members to inform instructors of any health conditions or injuries that may affect their participation in fitness classes. 6. Hygiene Standards: Maintain a clean and hygienic environment by enforcing proper cleaning protocols for equipment and shared spaces. 7. Education and Awareness: Provide health and safety information to staff and members, including guidelines for safe equipment use and injury prevention. Roles and Responsibilities Management: •Ensure the facility complies with health and safety regulations. •Conduct regular safety audits and risk assessments. •Provide resources, training, and support to maintain a safe gym environment. Instructors and Staff: •Supervise fitness classes to ensure exercises are performed safely. •Provide clear instructions on the use of equipment and exercise techniques. •Respond promptly and effectively to injuries or emergencies. •Encourage members to warm up, cool down, and exercise within their limits. Members •Follow safety guidelines provided by instructors and staff. •Use equipment responsibly and report any defects or hazards immediately. •Notify instructors of any medical conditions or injuries before participating in fitness classes. Procedures and Practices Emergency Response •First aid kits and automated external defibrillators (AEDs) are accessible in the facility. •Staff are trained to handle emergencies and administer first aid when needed. •Emergency exits are clearly marked and kept unobstructed. Class Safety •Class sizes will be limited to ensure safe movement and supervision. •Exercises will be tailored to participants’ fitness levels, with modifications as needed. •Warm-up and cool-down sessions will be incorporated into all fitness classes. Hygiene and Cleanliness •Hand sanitizers and cleaning stations will be available throughout the facility. •Staff will regularly disinfect high-touch surfaces and equipment. •Members are encouraged to wipe down equipment before and after use. Incident Reporting •Any accidents, injuries, or near misses must be reported immediately to management and documented in an incident report. Monitoring and Review This policy will be reviewed annually or whenever significant changes occur in operations, equipment, or regulations.
